MEDA Fall Conference Venue RFP
This RFP will be used to select the next three years of location sites.
Call for Proposals: The Maryland Economic Development Association (MEDA) is seeking proposals for a venue to host upcoming MEDA Fall conferences. The one-day conference will bring together economic development professionals, industry leaders, community stakeholders, and policymakers across Maryland.
MEDA’s Fall conferences draw 150-200 attendees annually and typically begin at 8 AM and conclude around 2 PM (subject to change). The events feature an impressive lineup of keynote speakers, panel discussions, and networking opportunities.
In previous years, the Fall conferences have been held at the Baltimore Museum of Industry, Antrim 1844, Maryland Innovation Center, and The Tidewater Inn.
Venue Requirements: Before submitting a proposal, please ensure the venue meets all the following criteria.
Facilities:
- Located in Maryland
- Able to accommodate between 150-250 attendees and additional staff (up to 5 people)
- Have appropriate space for sponsor display tables
- Accessible for individuals with disabilities, compliant with ADA standards
- On-site or nearby parking for attendees
- Onsite or catering services that can be provided (optional)
Audio and Visual (optional):
- Tech personnel to set up and run the sound equipment
- Screen and projector
- Microphones and podium
- Speakers connected to the microphone system
Lodging:
- The venue must have nearby lodging options (within 20 miles)
Budget:
- Estimated cost of services to be provided
Submission Process: Please complete the online form no later than 5:00 PM on March 21, 2025. Late proposals will not be considered.
Theme:
- Proposed theme that is well suited if this location is selected
- Potential sponsor participation if this location is selected
